Fine Associates, a property management company based in Minneapolis, seeks a Property Manager for a luxury high-rise apartment building in downtown Minneapolis.

RESPONSIBILITIES:

1. Responsible for all of the day-to-day operations of the property.

2. Maximize occupancy and resident retention. Optimize collections.

3. Establish and maintain effective communications and professional and pleasant relations with the residents and the staff.

4. Maintain optimal quality of the building, its appearance and its services, including optimal function of the different mechanical and electronic components.

ESSENTIAL FUNCTIONS:

  • Maintain and/or document all community records, files and reports and make sure they are in a secure location.
  • Act as a liaison between Fine Associates and on-site leasing, office and/or maintenance personnel.
  • Oversee the collection and deposit of all rents, security deposits and any additional income generated by the community. Handle delinquent accounts promptly.
  • Execute, on behalf of Fine Associates, all resident leasing documents, administrative duties in accordance with Fine Associates procurement practices and other financial transactions specifically delegated by Fine Associates.
  • Compile and submit in a timely manner all operating, leasing, maintenance or other reports.
  • Oversee and adhere to all appropriate company accounting directives, including, but not limited to:

a. Budget Variances
b. Accounts payable system
c. Other monthly reports
d. Special accounting items
e Yardi posting procedures

  • Work within the established budget and notify the Owner and/or Controller of any possible variations immediately.
  • Become familiar with and knowledgeable of federal, state and local laws and regulations as they relate to the management of the property and the needs of the residents.
  • Market and lease (rent) apartments and maintain a waiting list.
  • Ensure distribution of all company or community issued notices.
  • Continually monitor and analyze leasing traffic, conversion ratios, budget guidelines, renewal information and marketing efforts.
  • Monitor and code all A/P invoices that are submitted.
  • Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
  • Demonstrate the ability to understand financial goals, operate asset in owner’s best interest in accordance with Policies & Procedures Manual.
  • Process and enforce all lease agreements.
  • Handle all details of move-in and move-outs, giving special attention to apartment inspection checklists.
  • Work with residents in establishing good communications.
  • Purchase necessary office and community supplies in accordance with Fine Associate’s policies and/or directives.
  • Hire and terminate employees in accordance with the company policy, Federal and State laws and under the direction of the Owner and or Controller, maintaining employee records for attendance, vacation, employee counseling etc
  • Perform written evaluations of employees and make recommendations for salary increases and/or advancement.
  • Ensure all maintenance requests are handled promptly, efficiently and in accordance with Fine Associate’s policies.
  • Report accidents and emergency situations and prepare proper reports.
  • Perform and/or direct all other authorized management/maintenance functions necessary to ensure the proper and effective operation of the community.
  • Plan and attend resident functions.
  • Continually inspect the property and improvements, recording deficiencies and taking the necessary action within approved budgetary allocations.
  • Ensure that models and market ready apartments are walked daily and communicate any service-related needs to maintenance.
  • Maintain property appearance and ensure repairs are noted and completed on timely basis.
  • Perform regular property inspections and tours.
  • Conduct quarterly safety meetings with all staff.
  • Process on site employee payroll and submit to the property accountant.
  • Represent Fine Associates in a professional manner at all times.
  • Ensure compliance with Fine Associate’s policies and procedures.
  • Ensure property is rented to fullest capacity.
  • Fulfill other duties as may be assigned by the Owner and/or Controller.

SUPERVISORY RESPONSIBILITIES

  • Supervise all site personnel.
  • Document appropriately, and on a timely basis, performance problems with on-site staff.
  • Coordinate maintenance schedule and assignments with the Maintenance Supervisor.
  • Train and/or be responsible for work performed by staff members or contract employees.
  • Establish schedules and assign necessary personnel needed to properly manage and maintain the community properly for routine maintenance and emergency coverage with prior approval from Owner

QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)

  • 4 year degree or five years experience in related field preferred.
  • Accounting/bookkeeping and administrative background helpful.
  • Yardi Voyager experience is preferred.
  • Well-developed people skills.
  • Good verbal and written communication skills.

· Accredited Resident Manager (ARM), Real Estate Agent, or similar designation preferred.

Work environment is primarily an indoor office environment but does include outdoor work as needed.

Job Type: Full-time

Pay: From $60,000.00 per year
